Scheduling client meetings is one of the most important parts of your real estate workflow—and with AgentMoves, booking appointments is fast, flexible, and fully integrated with your contacts and calendars. In this guide, we’ll walk through the four ways you can book an appointment and how to customize your meeting details.
Step 1: Book an Appointment from Your Inbox
The quickest way to schedule an appointment is directly from your Inbox—perfect when you’re already messaging with a client.
Open your Inbox in AgentMoves.
When a client confirms a time, click the Appointment icon on the right-hand side.
Hit the plus (+) button to create a new appointment.
When you book directly from your inbox, the client’s contact information automatically appears, saving you time and reducing errors.
Step 2: Book from the Calendar Section
You can also schedule appointments through the Calendars section.
Go to Calendars → New Appointment.
Select the contact you want to meet with.
Choose your appointment type and time.
This option is great for visually managing your schedule or viewing available time slots before booking.
Step 3: Book from the Appointments Section
Another option is through the Appointments section itself.
Click New Appointment, fill out the details, and assign the meeting to the right contact.
This method works best when you’re planning several appointments at once and want a central place to manage them.
Step 4: Book from the Contacts Section
You can also book appointments directly from a contact’s record.
There are two ways to do this:
From within the contact record: Open the contact, click the Appointment icon, and hit Add.
From the contacts list: Click the three dots (⋯) beside the contact’s name, then select Book Appointment.
The second option is faster if you’re booking multiple appointments back-to-back.
Customizing Your Appointment
When booking, you can choose from several appointment types, each with its own default settings (like duration and notification preferences).
For example:
Strategy Session Call: Default location is “Call.”
You can switch to Custom mode to:
Set any meeting time (even if it overlaps another event)
Choose the meeting location (e.g., Zoom link, phone call, or office address)
Customize duration or notes
If you’re using Zoom, make sure it’s integrated with your AgentMoves account. (There’s a separate tutorial for Zoom integration.)
Step 5: Confirmation and Notifications
Once you click Book Appointment, AgentMoves automatically sends the meeting details to your client via email and text.
Clients receive a confirmation with the meeting time.
The email includes a calendar invite so they can easily add it to their own calendar.
Reminders are sent automatically when enough time is available before the meeting.
Bonus: Book via the Mobile App
You can also schedule appointments on the go using the AgentMoves mobile app—ideal for quick follow-ups or meetings while you’re out in the field. Watch the next video for a step-by-step walkthrough!
