A flexible CRM isn’t just about storing information — it’s about being able to see your data the way you want. When your contact records are organized in a system that matches your workflow, everything becomes easier: searching, updating, and understanding your contacts at a glance.
In this post, we’ll walk through how to customize your CRM’s contact fields and folders so your data works for you.
Why Customizing Contact Fields Matters
Your CRM likely comes with a standard folder structure. For example, you may see folders like Contact, General Info, or Company Info, each containing various fields.
But these default setups don’t always match how your business operates. The ability to rearrange, rename, or move these fields is essential to creating a CRM view that feels intuitive.
Where to Customize Contact Fields
All customization happens inside your CRM’s Settings:
Go to Settings
Scroll down to Custom Fields
Click on Folders
If you have admin permissions, you’ll see a list of all folders and fields available for customization.
A quick warning:
Be careful when deleting fields. If a field is used in an automation, deleting it will break that automation. Similarly, deleting a folder will remap all fields inside it, so proceed with caution.
Finding and Moving Fields
Your CRM may store multiple fields with similar names across different objects (like Contacts vs. Companies). For example, searching for “State” may reveal:
State under Contact
State under Company Info
Mailing State under imported data
To avoid moving the wrong field, check the object type. If the field says “Contact,” that’s the one tied to your contact records.
Example: Moving “State” to a Better Folder
Let’s say your "State" field is currently in General Info, but you want it grouped with the rest of the address fields in the Contact folder.
Here’s how to move it:
Search for State
Select the correct field under the Contact object
Click Move to Group
Choose Contact
You can repeat this process for other fields like Postal Code to keep all address details together.
Reordering Fields Within a Folder
After moving fields to the right folder, you can control the order they appear in.
Go back to Folders
Open the Contact folder
Scroll to the bottom and select “Show All” or “Show 200”
Drag fields into your preferred order
Maybe you want:
Email and phone at the very top
City, State, and Postal Code grouped together
Birthdays moved into a special “Anniversary and Milestone Dates” folder
