Streamlining Email Templates: A Step-by-Step System Upgrade
Keeping our agent marketing systems updated is key to ensuring seamless delivery of market updates. Recently, we made important improvements inside the Acacia account under Marketing → Email → Templates, particularly for the Market Update email template. This update simplifies how we handle videos and custom values — making the process faster, cleaner, and more consistent across all accounts.

1. Simplifying Video Integration
In the past, adding a YouTube video into the Market Update email required manual workarounds because we couldn’t use custom values directly in the video field. This meant manually inserting B values or placeholders every time an update went out.
Now, that’s changed.
We can finally insert a custom value for the video, pulling directly from Admin Values → Latest Market Update.
This improvement means:
We no longer need to insert hardcoded video links.
Each agent’s latest market video automatically updates in their email.
The process is more efficient and reduces potential errors.
2. Cleaning Up Redundant Fields
Since the new feature allows us to link videos via custom values, we’ve removed unnecessary fields from the template. This keeps things organized and reduces confusion when updating future campaigns.
3. Managing Images Based on Agent Setup
For solo agents, we can now use a custom value for the market image directly in the template.
However, for teams or shared accounts (like S.E.C.), we still rely on contact-based image values, since custom values don’t sync properly across multiple users.
This ensures that every market update looks correct, whether it’s sent by an individual agent or a team.
4. Using the “Sync Changes” Feature
After saving updates to the email template, it’s important to hit “Sync Changes.”
This feature automatically updates all active workflows or campaigns using that template.
While there were a few cases where the system didn’t detect linked workflows, that’s likely due to inactive campaigns. Generally, syncing ensures all automated emails stay consistent with the latest version of the template.
5. Updating Individual Agent Templates
To maintain consistency, we also reviewed and updated each agent’s Market Update email — including those for Chris Baggio, Kathy, Mike Monpetit, Troy, and others.
Each template now:
Pulls the latest YouTube video automatically through custom values.
Includes the play button overlay, so no manual thumbnail editing is needed.
Is synced and saved correctly for automation use.
6. Fixing Missing Video Links
While testing, we noticed a few agents didn’t have their YouTube video link filled out in custom values — which caused blank video sections. We fixed this by making the video field required and ensuring workflows automatically update the correct values when agents submit their market update forms.
7. Final Snapshot Update
Once all templates were revised and tested, we refreshed the Acacia snapshot to make sure every new or cloned account automatically inherits the updated version.
This ensures all future setups will have the corrected email template, complete with the new video and image configurations.
